Interfaces and AI in accounting: closer to real time

How APIs and AI shorten the path from bank statement to posting, and what that means for fiduciary firms, finance teams, and SMEs.

Accounting has gained a lot in recent years. Cloud systems, digital receipts, automated bank reconciliation: much of what used to be manual now runs in the background. The interesting question is what comes next.

The hardest work often sits between systems

A normal morning can still look like this: export a bank statement, open a file, inspect columns, adjust formats, clean something briefly in Excel, switch back to the accounting system, start an import, review postings, change a few accounts, add a missing contact, open another tab, return to the list.

Each step is harmless on its own. Together, they form the part of accounting work that has benefited least from digitization, not because the systems are bad, but because the work sits between them.

Interfaces make postings more traceable

An interface, technically an API, connects what previously moved through files and clipboard work. Bank data in camt.053 format, supplier invoices, recurring postings: imported in structure, reviewed, and transferred directly.

This improves data quality because less is typed manually. It improves traceability because the path from bank statement to posting can be documented. And similar facts can be booked consistently, regardless of who is working on the client.

Real-time accounting becomes practical

Real-time accounting used to sound like something for large finance departments. It is now becoming practical for fiduciary mandates and SME finance teams because the effort per transaction is low enough that ongoing bookkeeping becomes easier than collecting work for later.

A liquidity view from yesterday is useful for decisions. Differences stand out while the facts are still fresh. Quarter-end pressure becomes flatter because the work distributes itself more naturally.

AI moves expertise toward judgment

Machine learning is increasingly good at recognizing accounting patterns: which supplier belongs to which account, which item repeats, and which posting deviates from its usual pattern. Receipt recognition, booking suggestions, and plausibility checks are becoming standard capabilities.

That changes what expertise looks like day to day. Data entry moves into the background. Judgment, accruals, tax assessment, and conversations about numbers move forward.

Approval stays with the specialist. A suggestion is still a suggestion. But the share of work that requires professional judgment grows, which is a healthy shift for a profession built on experience.

A meta layer instead of a system change

None of this requires replacing the accounting system. The mandates are set up, the team knows the software, and the core system continues to lead.

What changes is the layer above it: a place where data is prepared, rules are applied, and postings are reviewed before they are sent through the interface.
